5 minute read

Generate the report

  1. 1Open Reports in the sidebar.
  2. 2Choose the Start and End dates. The end date includes that whole day in your shop’s time zone.
  3. 3Leave Include rent on to subtract each vendor’s monthly rent from their payout.
  4. 4Leave Include the $3 administration fee on to add a $3 fee line for each vendor who had sales.
  5. 5Click Generate report.

How each vendor is calculated

  • Commission on a line is net × the vendor’s commission rate. Custom lines you add by hand have no commission.
  • Each line’s total is net minus commission.
  • The vendor’s total is the sum of their lines, including the $3 administration fee when it’s on.
  • Payout is the vendor’s total, minus rent when rent is included.
  • A payout of zero or more is shown as Check Total. A negative payout is shown as Amount Due.

A worked example

A vendor with a 20% rate and $100 rent sells one item: gross $50, discount $5, net $45. Commission is $9, so the line total is $36. The $3 administration fee brings the vendor’s total to $33. With rent included, the payout is $33 − $100, shown as Amount Due $67.

Who appears

  • Active and flagged vendors appear even with no sales, so their rent is still on the report.
  • Pending and inactive vendors appear only when they had sales in the period.
  • Sales with no vendor are listed in the Misc section.
  • Square processing fees are shown for reference and are not taken out of any payout.

Send statements

Write a message under Notes and click Save note to include it in every email. Email all vendors sends each vendor their statement with a CSV attached, and skips inactive vendors. To send one vendor’s statement, use the email button on their section and tick Send me a copy if you want one too.

Download CSV gives you one vendor’s statement. Download workbook gives you the whole report as a spreadsheet with a summary sheet and a misc sheet.

Reports don’t change after the fact

A report is a snapshot. Changing a vendor’s rate or rent, or editing sales later, does not change a report you already generated. Generate a new report to pick up the changes, and delete the old one if you no longer need it.
